Overnight Travel Checklist

This checklist walks faculty sponsors and head coaches through each step of planning and approving an overnight or extended trip. Any changes to dates, locations, hotels, chaperones, activities, or excursions must be resubmitted for approval.

Online Overnight Trip Request

Submit trip requests online with the forms below. Overnight trips need approval from the principal, the EDSLS, the superintendent's office, and the board, so plan ahead. Start the process in the spring of the school year before the trip. 

I-19D (Admin. Only)

Trip Request (Form I-19D) 

Use for every overnight trip. Submit early: board approval is required before any travel. 

Next school year (2027-28): give the completed form to the EDSLS by mid-February 2027. The signed form is due by Wednesday, March 10, 2027, for board approval. 

This school year (2026-27): for trips not approved last spring, submit to the EDSLS during the first week of October 2026. The signed form is due by Wednesday, October 21, 2026. 

I-19E (Admin. Only)

Special Trip Request (Form I-19E) 

Use only for extenuating circumstances, such as a late-notice UHSAA tournament qualification, or when a trip needs more than the allowed school days. It is not for trips that simply missed the February or October I-19D deadline. 

Standard special trip: the principal submits the form to the EDSLS at least 60 days before travel, with a letter to the board explaining the circumstances. 

UHSAA events outside the regular season: the principal submits the form and a letter to the area director as soon as the opportunity is offered. Board approval may follow the trip.
